About the Role
We are seeking a highly capable, experienced, and multi-lingual Executive Assistant (PA) to support the CEO in the effective execution of executive duties, both strategically and administratively. The ideal candidate will have minimum 5 years experience supporting senior executives in a fast-paced environment.
The candidate will play a pivotal role in ensuring the CEO’s time is optimised, key priorities are executed smoothly, and communication flows efficiently across the organisation and with external stakeholders. You will manage a wide range of executive-level tasks and act as a critical communication link across internal and external stakeholders — from industry leaders, members, partners, media and policymakers.
You have the ability to anticipate needs while handling sensitive information with discretion.

Key Roles and Responsibilities
1. Executive Support
• Ensure the CEO’s schedule is aligned with priorities and contribute proactively to time and task optimisation.
• Understand the associations and CEO’s priorities and ensure time is being used appropriately to tackle issues as effectively and efficiently as possible.
• Maintain strict confidentiality and demonstrate high professional standards in all duties.
• Provide executive support and manage the CEO’s calendar, scheduling meetings, appointments, and travel arrangements.
• Prepare meeting agendas, reports, presentations, and briefing documents.
• Handle email correspondence and draft responses on behalf of the CEO when necessary.
• Draft, edit, and manage correspondence, presentations, reports, and briefing materials.
• Prepare materials and ensure follow-up for meetings, conferences, events and speaking engagements.
2. Strategic & Administrative Support
• Coordinate internal and external communications on behalf of the CEO, including liaison with Board members, members, policymakers, partners and other stakeholders.
• Coordinate board meetings, including agenda preparation, minute-taking, and follow-ups on action points.
• Support the CEO with project management, tracking deadlines, and ensuring key priorities are met.
• Conduct research and provide summaries to support decision-making.
• Coordinate governance-related tasks (board meetings, agenda planning, minutes, documentation, follow-ups).
• Act as the key point of contact for internal and external members of working groups.
3. Event & Meeting Coordination
• Support and coordinate logistics for internal and external meetings, conferences, and industry events.
• Attend meetings with or on behalf of the CEO, taking notes and ensuring follow-up actions are implemented.
4. Communication & Stakeholder Engagement
• Draft and proofread correspondence, reports, and presentations for the CEO.
• Assist with media engagements, speeches, and key industry presentations.
5. Office & Financial Administration
• Handle expense reports, budget tracking, and administrative tasks related to the CEO’s office.
• Manage documents related to the CEO’s office.
Qualifications, Skills & Experience
• Education: Bachelor's or Master’s degree in Business Administration, Communications, Political Science, or a related field.
• Experience: Previous experience (minimum 5 years) as a PA/Executive Assistant/business manager or high-level administrative role, preferably within an international association, NGO, or corporate environment (in a multicultural and multi-stakeholder context).
• Languages: Fluent in English (written and spoken); additional European languages (French, German) are a plus.

• Proficiency in Microsoft Office Suite and digital communication tools (Teams, Zoom, SharePoint, etc.).
• Interest in or affinity with the fitness, health, sport or well-being sectors is a plus.
• An open and flexible approach (from time to time the position may require working extended hours to deliver on important deadlines, TOIL - time off in lieu - is given).
• Availability for occasional travel within Europe to attend key meetings and events.
